Stem Seeds Academy ("we," "us," or "our") operates stemseedsacademy.com and provides tutoring, Learning Pods, and related educational services in the Tampa Bay, Florida area. This policy explains what information we collect through this website, how we use it, and the choices you have. It applies to this website only.

Information You Provide Directly

When you use our contact form, tutor-matching tool, or booking system, you may provide: your name, email address, phone number, home address (for in-home sessions), your student's name and grade level, and information about the tutoring or program needs you describe. If you book a session, this information is also shared with the specific tutor assigned to that session so they can prepare and contact you.

Information Collected Automatically

Like most websites, we automatically collect some information when you visit:

  • Standard technical data such as your IP address, browser type, device type, and pages visited.
  • An approximate location derived from your IP address, which we use to suggest a starting ZIP code on our tutor-matching page (you can always change it).
  • If you enter a ZIP code to check tutor availability, we look up its approximate coordinates and estimate driving time to determine which tutors can reasonably travel to you. This lookup is not linked to your name or contact information unless you separately submit a contact form.

Cookies & Analytics

We use the following third-party analytics and advertising tools, each of which may set its own cookies:

  • Google Analytics & Google Ads - to understand site usage and measure ad performance.
  • Meta (Facebook) Pixel - to measure the performance of our Facebook and Instagram ads.
  • Microsoft Clarity - to record anonymized session recordings and heatmaps that help us improve the site's usability.

You can opt out of most analytics and ad cookies through your browser's privacy settings, or by using Google's Analytics opt-out browser add-on and Meta's ad preferences.

Do Not Track: Some browsers offer a "Do Not Track" signal. There is no industry-standard way to respond to these signals yet, and our site does not currently change its behavior when it receives one.

We rely on the following third-party services to operate this site and our business. Each has its own privacy policy governing how it handles data on our behalf:

  • Resend - delivers contact form submissions to our email inbox.
  • Square - processes payments and stores booking records for scheduled sessions.
  • Google Firestore - securely stores tutor booking and scheduling records.
  • Google Maps / Places - powers our location map and displays public Google reviews.
  • OpenStreetMap (Nominatim & OSRM) - provides ZIP code coordinates and driving-time estimates used to match you with nearby tutors.
  • ipapi.co - provides an approximate location from your IP address to pre-fill your ZIP code.

We do not sell your personal information to third parties.

Children's Information

Our services are for students, but this website is intended to be used by parents and guardians, not by children directly. Information about a student (such as their name, grade, or learning needs) is provided to us by a parent or guardian through our forms, not collected directly from the child. If you believe a child has submitted information to us directly without a parent's involvement, please contact us and we will remove it.

Data Retention & Security

We retain booking and contact records for as long as needed to provide our services and to meet reasonable business and legal record-keeping needs. We use reasonable administrative and technical safeguards to protect your information, but no method of transmission or storage is completely secure.

Your Choices

You can ask us to access, correct, or delete the personal information we hold about you, or opt out of marketing communications, at any time by emailing contact@stemseedsacademy.com.
